Iroam Motorhomes Ltd – Rental Terms and Conditions

Definitions:

Agreement means the Rental Agreement including the Booking/Order forms, the Insurance Proposal Form and these Rental Terms and Conditions.

Iroam Motorhomes and Iroam Motorhome Hire are trading names of Iroam Motorhomes Ltd. A Registered Company in England and Wales. Registered Office: 61 Victoria Road, Elland, Halifax, HX5 0QA. Company Registration Number: 13678479.

Vehicle means the Motorhome that is stated in the Rental Agreement including all its belongings and equipment that are supplied with the vehicle and any other vehicles provided by Iroam Motorhomes at their discretion.

Hirer means the Customer, the person that is named on the Rental Agreement. The hirer is the person who is responsible for the motorhome and all the documents and equipment.

Deposit means part payment towards the cost of the Rental Agreement.

Security Deposit means the monies held as security by Iroam Motorhomes in relation to the hire.

Rental means Rental Period or Hire Period as stated on the rental agreement. The Hirer remains ultimately responsible for the vehicle until such time the vehicle is returned to the Hire Location and is inspected by a Iroam Motorhomes representative or employee.

Covid -19

The safety and well being of our team and customers is our main priority. We will follow any travel restrictions that are imposed and will continue to comply with all Government guidelines to combat the Covid-19 Virus.

We clean and sanitise all our equipment and vehicles thoroughly prior to any collection, providing complete piece of mind for everyone.

Iroam Motorhomes are happy to offer a voucher or credit note for monies paid for bookings that have subsequently had to be cancelled or postponed as a result due to a change in the Government Guidelines of the Covid-19 outbreak. 

We will re-schedule your motorhome booking free of charge to a suitable date in the future. There will be no re-booking fee for this, and the hire charge applied to the initial agreement will be honoured. 

We are unable to refund any monies paid as per our terms of booking but we are able to offer a credit note for the booking value, which will be valid for a period of up to 12 months, allowing you to re-schedule to a suitable date in the future.

  1. Bookings

Iroam Motorhomes reserve the right to cancel or reject any booking or rental agreement at any time, a full refund of any monies paid to iroam motorhomes will be issued.

A booking can be confirmed once Iroam Motorhomes receive the following

  1. Payments

Payments can be made by the following methods;

  1. Security Deposit

A Standard Security Deposit is £1,000 (Motorhome Hire without Pets).

A Standard Security Deposit Plus Pets is £1250 (Motorhome Hire with Pets).

A Security Deposit is pre-authorised on a credit or debit card when you collect the motorhome.

The card should be in the lead driver’s name and the amount will be pre-authorised immediately. On taking delivery of the vehicle, the customer irrevocably authorises Iroam Motorhomes to deduct from the security deposit any amounts due to them arising out of this Agreement.

The Security Deposit will be released within 7 working days of the vehicle being returned to the Hire Location as per the criteria set out in section “14 Collection and Returns” procedure, provided there are no damages or outstanding insurance claims.

  1. Your Contract with us

When you sign the Rental Agreement you are accepting “The Rental Terms and Conditions” and you acknowledge having received the vehicle in a clean condition with a full tank of diesel.

Please read this agreement carefully. If you do not understand any part, please ask any member of Iroam Motorhomes to explain it.

  1. Identification Required

The following identification is required for any driver listed on the Rental Agreement.

Should any driver fail to present all correct documentation and identification on collection of the motorhome or not meet the drivers Identification Required stated in the terms and conditions, Iroam Motorhomes will be unable to release the motorhome and no refunds will be given.

  1. Drivers and Licenses

The address on the Hirer’s license must match that of the rental Agreement.

The driver named on the Rental Agreement and the Insurance Proposal must ensure they hold the correct entitlement to drive such vehicle.

No person other than the drivers listed on the Insurance Proposal may drive the hired vehicle.

Drivers must be over 25 and under 70 years of age and have held a full drivers license for a least 2 years. (Drivers that fall outside these age categories may be considered after obtaining approval from the Vehicle Insurance Company).

Any Driver must declare at the time of booking if they have any endorsements on their license.

Iroam Motorhomes can accept up to 6 speeding points (Subject to Insurance Company approval).

For any driver with more than 6 points or any form of disqualification, Iroam Motorhomes are unable to obtain cover.

Should any driver fail to present all correct documentation and identification on collection of the motorhome or not meet the drivers Identification Required stated in the terms and conditions, Iroam Motorhomes will be unable to release the motorhome and no refunds will be given.

  1. Insurance

Fully Comprehensive Vehicle Insurance is included within the Hire Charge and covers the whole of the UK excluding the Republic of Ireland. For European cover and traveling outside the UK see section “9 Travelling within Europe”

Hirers are advised to take out additional Insurance for themselves, passengers and personal belongings.

The Hirer must declare at the time of booking if they have made or had a vehicle Insurance claim made against them within the last 3 years. They must also declare their occupation to check with the insurance Company if deemed as a high-risk driver. Should the insurance company impose additional charges these will be passed on to the hirer.

  1. Travelling within Europe

If you want to travel within Europe we can happily arrange this for you. You must state at the time of booking that you wish to travel overseas. It is mandatory that you have European Vehicle insurance, which is charged at an additional £20 per night and is subject to approval by our insurers. The minimum term for European cover is 7 days.

The following countries are covered by the European insurance: Austria, Belgium, Denmark, Finland, France, Germany, Italy, Luxembourg, Netherlands, Norway, Portugal, Republic of Ireland, Spain, Sweden and Switzerland. Please check your route carefully and stay within these countries.

  1. Breakdown Cover

All our vehicles are covered with RAC 24/7 Breakdown, Recovery and Rescue.

In the unlikely event of a breakdown, see “Breakdown Procedure” in the vehicles Information folder for details on how to proceed.

  1. Passengers

Iroam Motorhomes authorizes the use of the vehicle up-to the number of passengers stated in the rental agreement.

Each person is to use the safety restraints provided at all times whilst the vehicle is in motion.

Child Seats are the responsibility of the Hirer to fit themselves. By UK law children up-to the age of 12 or 135cm in height (whichever reached first) children must use the correct restraints appropriate to them.

  1. Animals

It will be clearly stated on your rental agreement if the vehicle you have hired allows pets. Any vehicle that does allow an animal is restricted to two small or one medium sized pet. Iroam Motorhomes reserve the right to charge for additional cleaning services if animals have been inside the vehicle without stated authorization shown on the Rental Agreement.

  1. Smoking

All vehicles are strictly non-smoking and non-vaping.

Iroam Motorhomes reserve the right to charge for additional cleaning services should smoking or vaping be detected.

  1. Events beyond our control

Unfortunately events beyond our control may occasionally affect bookings.  When reference is made to such events, this means any events or circumstances, which Iroam Motorhomes could not, even with all due, care, foresee or avoid.  When an event beyond our control occurs we cannot accept any responsibility or pay any compensation, costs or expenses where the performance of your agreement with us is prevented or affected or you otherwise suffer any loss or damage as a result.  This includes any delays to and/or restrictions to your hire.  During hot weather fridges and freezers in motorhomes do not always perform as expected which is beyond our control.  We will not accept any responsibility for any loss of food or beverages and no compensation will be issued.

  1. Charges

The Hire charges are calculated using our current price list (see your Booking Confirmation and Rental Agreement). You are responsible for paying the following charges:

  1. Our Responsibilities

Vehicle – We will identify and tell you about any existing damage to the vehicle before you sign your Rental Agreement. We will ensure the vehicle is roadworthy and suitable for you to use at the start of the rental period. 

Systems – Iroam Motorhomes will carry out a full inspection on every motorhome before the commencement of hire, this will include testing every system on board the motorhome to ensure they are operating correctly.

We accept no responsibility for delays and/or consequential losses from breakdown or from any other circumstances.  If for any reason the vehicle rented shall become un-roadworthy for whatsoever reason we may at our discretion replace the vehicle.

Should an on-board system fail during the hire period, Iroam Motorhomes will make every effort to remedy the fault whilst you are away. In some circumstances, this may not be possible and Iroam Motorhomes cannot be held responsible and will not refund any monies should a loss of service be encountered nor have any obligation to provide a replacement vehicle. In the case of winter hire, Iroam Motorhomes will not be and cannot be held responsible in the event of any damage or inconveniences caused by freezing conditions. This is the responsibility of the hirer.

  1. The Hirers Responsibilities

You must inspect the vehicle and any accessories we provide before you take the vehicle.  If you are not satisfied with the vehicle or you do not think the condition of the vehicle is suitable for hire, you should let us know immediately.  You must look after the vehicle, any accessories and the keys or other locking device for the vehicle.  You must always lock the vehicle when you are not using it, and use any security device which is fitted or which we supply.  You must always protect the vehicle against weather conditions, which could cause damage.  You must make sure that you use the correct type of fuel and fluids in the vehicle. You are responsible for any damage to the vehicle, including damage under carriage damage, and overhead damage (above 6ft in height) caused by but not limited to hitting low level objects such as bridges, low hanging tree branches or barriers along with damage to the awnings and frozen pipework whilst the vehicle is on hire to you.  You will have to pay our reasonable costs for bringing the vehicle back to the condition as per stated on the Rental Agreement.  This could include but is not limited to any damage inside and outside the vehicle, cleaning costs if the vehicle is very dirty, and replacing any items or accessories.  You must not sell, rent or dispose in any way any part of the vehicle or any of its parts.  You must not give or try to give anyone the legal rights to the vehicle or transfer legal ownership.  You must not let anyone work on the vehicle without our permission.  If we do give you permission, we will only give you a refund if you have a receipt for the work we have given you permission for.  You must let us know as soon as you become aware of a fault with the vehicle, or if the vehicle is stolen or involved in an accident.  You must return it during the allocated times stated in section “13 Collection and Return”.  When you return the vehicle, our staff must check its condition. If we have agreed to allow you to return the vehicle outside of our opening hours, you will stay responsible for the vehicle and its condition until our staff, have checked it.  We may need to clean the vehicle before our staff can check its conditions. You are responsible for all damage whatsoever caused by misuse or negligence and for all tyre repairs or replacement, wing mirrors, and for any broken windows and lights and for any damage to the interior of the vehicle along with any overhead damage (above 6ft height) and undercarriage damage and damage to the awning and any frozen pipework.  You are responsible for checking engine oil, water levels and tyre pressure at least once a week during your hire.  The vehicle is supplied with at least one full bottle of LPG.  Subsequent refills are your responsibility.  You must ensure that refilled bottles are of the same size, fitting and Brand. 

  1. Conditions for using the vehicle

Only the named driver or drivers stated on the Insurance Proposal Form can drive the vehicle.

The Customer agrees that during the rental period, they will not and will not allow the Vehicle to be:

  1. Under the age of 25 years.
  1. Who are not authorised by law to drive the Vehicle.
    Particulars of a proposed licensed driver of the Vehicle are set out under the heading ‘Hirer’s name/ contact’ on the Rental Agreement.
  1. Submersion in water
  2. Contact with Salt Water
  1. Alterations

The customer is not permitted to make any alterations to the vehicle or any other Iroam motorhomes belongings, unless they have received written consent from Iroam Motorhomes.

  1. Parking

Free Parking is available onsite at the Hire Location for 1 vehicle for the duration of the motorhome hire period. All vehicles and their contents are left at owners risk.

  1. General Data Protection

The information that you have provided to Iroam Motorhomes will be used to fulfil this contract placed with us. We will not pass this information onto any other organisation outside this company other than to our insurer and/or our insurance broker.
